This policy explains how to cancel or request a change to an agreed service provided by SCHOOLWEAR SHARED SERVICES LTD, including the applicable notice period and what happens when a request is made close to the scheduled start time.

Please tell us as soon as your plans change.

Where a service has been scheduled for a specific date or time, we ask for at least 48 hours’ notice where reasonably possible. This gives both sides a clear opportunity to adjust the arrangement.

What this policy covers

This Service Cancellation Policy applies to scheduled administrative and operational support services provided by SCHOOLWEAR SHARED SERVICES LTD.

It covers cancellations, requests to move an agreed service to another time, and situations where a client asks to change the agreed requirement before delivery.

This policy should be read together with our Service Delivery Policy and Terms & Conditions .

48-hour cancellation notice

For a service that has been arranged for a specific date or start time, clients should provide at least 48 hours’ notice when requesting cancellation or rescheduling.

Standard notice period

Please provide your cancellation request at least 48 hours before the agreed service start time.

The 48-hour period is measured backwards from the agreed service start time. Providing earlier notice is encouraged where circumstances allow.

This notice period is intended to provide a reasonable opportunity to reorganise scheduled work and allocate the relevant service time elsewhere.

How to request a cancellation

Cancellation requests should be sent using the contact details provided by SCHOOLWEAR SHARED SERVICES LTD.

Send your cancellation or rescheduling request as soon as you know that the agreed arrangement needs to change.

Identify the service

Include your name or business name, the relevant service and the agreed date or time where applicable.

Confirm what you need

Tell us whether you are requesting cancellation, rescheduling or a change to the agreed requirement.

Await confirmation

We will review the request and confirm the applicable arrangement, including any revised service time where rescheduling is possible.

Cancellation before the service starts

Where a cancellation request is received at least 48 hours before the agreed service start time, we will review the request and confirm the cancellation arrangement.

If a service has not started and a refund or other financial adjustment is applicable under the agreed service terms or applicable law, the relevant amount will be handled in accordance with those terms.

Where the service is being provided as a scheduled session, cancellation does not automatically convert the service into an open-ended credit or replacement arrangement. Any alternative date must be separately agreed.

Cancellation with less than 48 hours’ notice

A request received less than 48 hours before the agreed service start time will be treated as a late cancellation request.

We will consider the circumstances and the stage of the service when deciding what practical arrangement can be made.

Option A

Rescheduling

Where practical, we may agree a replacement date or time subject to availability and the nature of the service.

Option B

Revised arrangement

If the requested change materially alters the original scope or timing, a revised service arrangement may be discussed before further work takes place.

Option C

Cancellation

Where the service cannot reasonably be rescheduled, the cancellation will be handled according to the applicable service terms and any rights that apply by law.

Option D

Exceptional circumstances

Where circumstances outside the client’s reasonable control affect the scheduled arrangement, the situation can be discussed directly so that a practical solution can be considered.

No automatic penalty wording

A late cancellation does not automatically mean that a client loses every amount paid. Any financial consequence depends on the relevant service terms, the work already undertaken and applicable legal rights.

Where the service has already started

If work has already started when a cancellation request is made, the position may differ from a cancellation made before delivery.

We will consider the amount of work already completed, the agreed service scope and any applicable terms when determining the practical next step.

Where a service consists of a defined session or consultation that has already commenced, the session may be treated as having started even if the full scheduled period has not been used.

Clear communication

If you need to end a service that has already started, contact us as soon as possible. We will confirm what work has been completed and what arrangements, if any, remain available.

Rescheduling and changes

Where a client does not want to cancel completely but needs to change the agreed date or time, the request will be considered as a rescheduling request.

Requests made at least 48 hours before the agreed start time can normally be reviewed against available scheduling options.

Requests made less than 48 hours before the agreed start time may require a revised arrangement because the original service period may already have been allocated.

Rescheduling is subject to availability and does not guarantee that the same date, time or arrangement will remain available.

Statutory rights

Nothing in this policy removes rights that apply by law.

This policy sets out our normal administrative arrangements for cancellation and rescheduling. It does not exclude or restrict any statutory rights that cannot lawfully be excluded or restricted.

Where a customer has a legal right to cancel, obtain a refund, receive a remedy or exercise another statutory right, that right will apply in accordance with the relevant legislation and the circumstances of the service.

Where consumer cancellation rights apply to a particular agreement, the applicable statutory requirements will take precedence over any inconsistent term in this policy.

Business customers may have different contractual arrangements depending on the nature of the service and the agreement in place.
